Q. My mail list is very important to me. What prevents someone from getting my mail list while it is uploading?

A. We use 128-bit encryption on our web site. This is the same level of security that retailers and financial institutions use on the Internet. For more information concerning data encryption, visit www.verisign.com.

Q. Why don’t my sample files show on my screen?

A. The main reason this happens is because the file is still loading. If you have a slow Internet connection it can take up to a minute for some sample files to load. Please be patient.

Q. When I enter my Customer ID and Password, I get the error "You don't have authorization to be on this page/site or there has been no activity on the site. Try logging in again." I click on Try logging in again, retype their login and password and am able to enter the site.

A. Ensure that the web site you are using is http://www.bds.banta.com and not 68.93.8.241.

Q. Why do you prohibit sending mail lists via email?

A. Email files are discouraged for many reasons. The main reasons are that when the file is sent through email, only the recipient gets notified. When a file is uploaded through the web site, the Administrative Coordinator and the Customer Service Representative are automatically notified. When email is used the communication is delayed. Other reasons email is discouraged for sending files are: 1. Some email providers strip large file attachments; 2. In some cases, the data can get corrupted during email transmission, particularly if the file is not zipped before transmitting; 3. Email can sometimes take days to reach its recipients depending on problems outside RR Donnelley; and 4. If the file attached is large, the email may not be able to take place until after business hours. The best way to send data is by logging in and clicking on "Submit a File".

Q. Why does RR Donnelley List Services want my data zipped?

A. The biggest advantage of zipping the file is that it will save you time when uploading/downloading files across the Internet or through physical media because of the way it compresses or shrinks the size of the file. It also may help protect the data from corruption during transmission.

Q. How do I actually zip a file?

A. Locate the file using Windows Explorer and right click on the file. Select the feature, Add to Zip, and it will begin to zip or compress the file for you. Or, from the desktop right click in a blank area, choose New and click on WinZip, it will then ask you for the location and name of the zip file you want to create. Select the files to add to the zip file and then click the Add button.

Q. How do I unzip a file?

A. Locate the zipped file on your computer and double click on it. If you have WinZip set up as the default for all .zip files, the WinZip program will automatically start. Select the files to unzip and click Extract. In the box Extract to: specify the location to unzip the file(s). To download a shareware version of WinZip just follow this link to www.winzip.com

Q. What is the primary address?

A. The primary address (also known as Address 1) is the address that is located immediately above the City, State, Zip Code line on the mailing label. The primary address is the address to which the mail is to be delivered. For example, if an address record has both a street address and a PO box number and the recipient wishes to receive their mail at the PO box, then the PO box number should be placed in the primary address field on your database file. The secondary address (also known as Address 2) is located immediately above the primary address on the mailing label. This may contain information such as apartment numbers, suite numbers, building names, etc. Address 3, if it exists, is located immediately above the secondary address on the mailing label. Address 4, if it exists, is located immediately above address 3 on the mailing label. As a general rule of thumb, the most important address information required for delivery should be placed in the primary address field on your list file, followed by the second most important data placed in the secondary address field and so on.

Q. What information is needed to run my mail list?

A. The quantity to process

  • If we are to remove duplicate records
  • Class of mail
  • If the mail is Regular rate or Non-Profit rate
  • Advertising Percent
  • ACS Code if any
  • Permit number for standard mail or USPS No. for Periodical mail
  • If the standard mail indicia is printed on the publication
  • Type of Output (Inkjet, Pressure Sensitive Labels or Cheshire Labels)
  • Number of mailing versions, quantity for each and how to identify them
  • Weight per piece per mailing version
  • Which data fields to carry on the output, i.e. which fields should be printed on the label or ink jet address
  • Type of Output (Inkjet, Inkjet w/Indicia, Pressure Sensitive, Pressure Sensitive w/Indicia, Cheshire or Cheshire w/Indicia)
  • Any other information specific to your publication.

Q. How should I format my APO and FPO (military) addresses?

A. The APO or FPO designator should be placed in the City field and AA, AE or AP should be in the State Code field.

Q. How should I format Canadian addresses?

A. Place the Canadian City consistently in the same field as Domestic Cities. Place the Canadian Province abbreviation in the same field as Domestic State Codes, making sure it is properly abbreviated. Place the Canadian Postal Code in the same field as Domestic Zip Codes, making sure the postal code is correctly formatted. Place Canada in the Country field.

Canadian Province abbreviations: AB-Alberta; BC-British Columbia; MB-Manitoba; NB-New Brunswick; NL-Newfoundland/Labrador; NS-Nova Scotia; NT-Northwest Territories; NU-Nunavut; ON-Eastern Ontario, Central Ontario, Metropolitan Toronto, Southwestern Ontario, and Northern Ontario; PE-Prince Edward Island; QC-Quebec, Metropolitan Montreal, and Quebec West; SK-Saskatchewan; YT-Yukon Territory.

Canadian postal code format: ANA NAN (A = Alpha characters, N = Numeric characters, make sure there is one space in between the first three characters and the second three).

Q. How should I format foreign addresses?

A. Place the Foreign City consistently in the same field as Domestic Cities. Place the Foreign State abbreviation, if any, in the same field as Domestic State Codes. Place the Foreign Postal Code in the same field as Domestic Zip Codes. Place the country name in the Country field.
